Overview

  • What is the mandatory training compliance program? 
  • UC policy requires that 100% of employees complete the UC Cybersecurity Awareness Fundamentals training annually. Beginning July 1, 2026, UC Davis will enforce this requirement by temporarily restricting access to certain digital services for employees who have not completed the training by their individual deadline. Faculty, academic appointees, graduate student employees, and postdoctoral scholars on the Davis campus are included in Phase 1 of this rollout. 
  • Why is UC Davis implementing this now? 
  • UC Davis joins UC San Diego, UC Irvine, UC Merced and other UC campuses in implementing access restrictions to achieve the required 100% compliance. The program's guiding principle is completion before enforcement, not disruption: multiple reminders are sent well in advance to help everyone meet their deadline. 
  • Who is included in Phase 1? 
  • Phase 1 applies to all UC Davis campus employees on active pay status, including: 

    • ● Tenure-track and tenured faculty 
      Lecturers and other academic employees 
      Visiting faculty and recall faculty 
      International scholars 
      Continuing & Professional Education short-term faculty
    • Postdoctoral scholars 
      ● Undergraduate and graduate student employees 
       

    Not included in Phase 1: UC Davis Health employees, School of Medicine employees, School of Nursing employees, academics with dual appointments in School of Medicine or School of Nursing and emeriti faculty on non-pay status.

Training and Deadlines

  • Which training is required in Phase 1?
  •  Phase 1 includes only the UC Cyber Security Awareness Fundamentals, an annual course covering practices to reduce security risks and data breaches. Overall, UC Davis campus employees are required to complete six mandatory training modules; the remaining modules will be included in future phases.   • What is my deadline?
  • Your deadline is individual to you. It is based on the anniversary of when you last completed the cybersecurity module, not a single campus-wide date. Log in to the UC Learning Center and check the Required Training section to see your specific due date. 

  • How will I be reminded about my deadline?
  • You will receive automated email reminders at 30, 14, 7, 2, and 1 day(s) before your deadline. Login screen warnings will appear beginning 14 days before your deadline. 

  • How do I check my current training status? 
  • Log in to the UC Learning Center, navigate to the Required Training section, and review your assigned modules, due dates, and completion status. 

Access Restrictions

  • What happens if I miss my deadline? 
  • If you do not complete the required training by your deadline and do not have an approved extension, you will temporarily lose access to certain digital services, including but not limited to: 

    • Aggie Enterprise 
    • MyInfoVault 
      myucdavis 
    • UC Davis Box 
    • UC Davis Google Workspace

    When attempting to log in to these services, you will be redirected to the UC Learning Center to complete the training. Your department chair or manager also receives notifications that your training is overdue. 

  • What systems will I still be able to access? 
  • The following remain fully accessible: 

    • Aggie Bill
      Aggie Service
      Campus clinical applications and services 
      Microsoft 365 (including Outlook and Teams)
      Service Hub (ServiceNow)
      Student Health & Counseling Services
      Time Reporting System (TRS)

  • How quickly is access restored after I complete the training?
  • The target restoration time is within a few hours after training completion is verified in the UC Learning Center.

  • I completed my training, but my access is still restricted. What do I do? 
  • First, verify the training shows as completed in the UC Learning Center. For technical issues, contact [email protected]. If access is not restored after a short wait, faculty, academic appointees, and postdoctoral scholars should contact their school/College/Unit’s academic point of contact.

    Graduate student employees should contact their graduate program coordinator.

Extensions, Sabbatical and Accommodations

  • Can I request an extension?
  • Yes. Faculty, academic appointees, and postdoctoral scholars with exigent circumstances, such as sabbatical, approved leave, or other special situations, may request a one-time 7-day extension per year through their academic point of contact

    Graduate student employees may request a one-time 7-day extension through their graduate program coordinator. 

    An extension temporarily restores access but does not change the underlying training deadline, which will still be reported as past due.  

  • What if my deadline falls during sabbatical or a leave of absence? 
  • Faculty and academic appointees on leave or short work break status in UCPath may have training assignments paused during their leave. However, if the training due date passes while on leave, you may be considered out of compliance upon returning and will need to complete the training promptly. Contact your academic point of contact for guidance specific to your situation. 

  • What if I need an accommodation to complete the training? 
  • Faculty, academic appointees, or postdoctoral scholars requiring accommodations should contact their academic point of contact or reach out directly to Disability Management Services at [email protected].

    Graduate student employees should contact their graduate program coordinator or reach out to Disability Management Services at [email protected].

Getting Help

  • Who is my academic point of contact?
  • The academic point of contact for faculty, academic appointees, or postdoctoral scholars is typically in your school, college, or unit’s central administrative office. Contact your chair or supervisor if you need help identifying the right person. A list of authorized contacts for extension requests is available on the Human Resources website

  • Who should I contact for support?
  • Faculty, academic appointees, and postdoctoral scholars can contact their department's academic personnel contact as the primary resource for compliance-related questions, extension requests and access issues. 

    Graduate student employees should contact their graduate program coordinator for compliance-related questions, extension requests, and access issues.
